Who we are

AthloID is a youth sports platform that helps clubs, coaches, parents and players track, verify and celebrate athletic achievements. This policy explains what data we collect, how we use it, and the choices you have. By using AthloID you agree to this policy.

What data we collect

Account data: your name, email address, and role (for example parent, coach or player).

Player profiles: information you or your guardians provide about a player — name, date of birth, jersey number, teams, positions, height and weight, Chinese name, and optional photo and social links.

Guardian details: parent/guardian names, emails and phone numbers, including verification status, plus emergency contact names and phone numbers.

Health notes: optional medical notes and injury status you or a coach record, so coaches can keep players safe.

Activity records: training sessions, RSVPs, attendance, match results, goals, awards, feedback, verified training hours and certificates.

Payments: payment records and any payment slips you upload. Slips are visible to your club's head coach for verification.

Photos and media: photos and videos you upload to galleries, profiles or session threads.

Device and usage data: basic device information and how you use the app, collected as analytics to improve AthloID.

How we use your data

We use your data to run the service you signed up for: managing club rosters, generating training schedules, sending RSVP and session reminders, verifying attendance and payments, building the verified AthloID Passport and certificates, and notifying the right people (for example telling a coach about an absence).

Who your data is shared with

Your data is only ever shared with the people who need it:

• A player's records are visible to the clubs and coaches they are registered with, and to both of the player's guardians.

• Parents see their own children's data; players aged 13+ who self-register can see and manage their own profile.

• Club head coaches see the payment and roster information needed to run their club.

• AthloID platform administrators may access records to provide support and process certificate printing.

We never sell your personal data. We do not share it with advertisers.

Children's data

AthloID is designed for young athletes, so we apply extra care:

• For players under 13, the account and profile are created and managed by a parent or guardian. We collect a child's data only through their guardian.

• Players aged 13 or older may create their own account and manage their own profile, in line with our platform rules. Guardians keep shared visibility.

• Identity documents are never stored raw — identity details are used only to generate a protected verification code and are then discarded.

Data retention and your control

You stay in control of your data:

• Guardian-controlled player profiles can be updated or removed at any time.

• You can delete your account and personal data using the in-app "Delete My Account" flow.

• To request a copy, correction or removal of your data, contact us at hello@athloid.com and we will action your request.

We keep records only as long as needed to run the service and meet our obligations, after which they are deleted.

Changes and contact

If we make material changes to this policy we will notify you in the app. Continued use after changes means you accept the updated policy.
